Setting Up Property Fees and Taxes

This document provides a comprehensive walkthrough for configuring fees and taxes for your properties. By following these steps, you will learn how to effectively manage and apply financial settings to ensure accurate billing for your property listings.

1. Accessing the Fees Section

This step explains where to navigate in the system to begin creating fees that will later be applied to properties and reservations.

  • Go to the Main Menu

  • Click Marketing

  • Select Channels

  • Navigate to Fees

  • Click Add Fee

2. Creating a New Fee

Here, you define what the fee is, how it is labeled, and how guests will see it during booking.

  • Choose the Fee Type

  • Enter a Display Name

    • This is the name visible to guests

  • Select a Unit Type

    • Fixed amount

    • Percentage

    • Formula-based

  • Enter the Fee Amount (optional at this stage)

3. Setting Amounts and Quantifiers

Setting an initial amount is optional. You can start with zero and adjust it for each property later, or establish a default amount. Then, choose the quantifier, such as 'per stay,' 'per night,' or 'per person per night.'

This step determines how the fee is calculated and how often it is applied to a reservation.

  • Fee amount can be:

    • Set to zero initially

    • Used as a default value across properties

  • Choose a Quantifier

    • Per stay

    • Per night

    • Per person per night

4. Inclusive Fees & Income Assignment

You have the option to set it as an inclusive fee, which doesn't impose an extra charge for guests but helps in distributing the total paid amount internally. Decide on the scope of application, whether it applies to all OTAs, direct manual reservations, or both. Additionally, choose whether the fee impacts the owner's income in the P&L or the property management company's income.

This section explains whether the fee is included in the price or added separately, and who receives the income from the fee.

  • Enable Inclusive Fee if required

    • Fee is included in the total price, not shown as an extra charge

  • Choose where the fee applies:

    • All OTAs

    • Direct/manual reservations

    • Both

  • Assign Income Destination

    • Owner income (reflected in owner P&L)

    • Property management company income

5. Saving and Applying Fees

After configuring all the settings, click 'Save' and apply this fee to a specific property, or apply it across all properties. The process for adding taxes is similar. Navigate to 'Taxes' and add a new tax.

This step finalizes the fee setup and determines which properties the fee applies to.

  • Click Save

  • Apply the fee:

    • To a specific property

    • Or across all properties

6. Setting Up Taxes

Select a tax type and a display name that guests will see. Then choose the unit type, amount, and quantifier.

This section outlines how to create tax rules that comply with local regulations and appear correctly to guests.

  • Navigate to Taxes

  • Click Add Tax

  • Select:

    • Tax Type

    • Display Name (visible to guests)

  • Choose Unit Type

  • Enter Tax Amount

  • Select Quantifier

7. Tax Application Rules

Decide if the tax should apply to both OTAs and direct reservations, direct reservations only, or just OTAs.

This step defines where and how taxes are applied, including special handling for VAT and OTA-collected taxes.

  • Choose where the tax applies:

    • Both OTAs and direct reservations

    • Direct reservations only

    • OTAs only

  • For VAT:

    • Decide if it is price inclusive

    • Option to apply only to citizens

  • Important rules:

    • If the channel collects the tax, it will not be applied on the OTA

    • If you collect the tax, it will be reflected on the OTA

8. Saving and Applying Taxes

If you are responsible for tax collection, they will be reflected on the OTA. Remember to save your configurations. Apply the tax to specific properties or across all properties.

After configuring all the settings, click 'Save' and apply this fee to a specific property, or apply it across all properties. The process for adding taxes is similar. Navigate to 'Taxes' and add a new tax.

This step confirms and assigns the tax so it becomes active for bookings.

  • Click Save

  • Apply the tax:

    • To specific properties

    • Or across all properties

9. Verifying Fees & Taxes on Property Level

Here, you'll see the fees and taxes that have been applied to this property.

This section shows where to review applied fees and taxes at the individual property level.

  • Go to Main Menu

  • Select Owners

  • Open Listings

  • Choose a property

  • Navigate to Finance

  • Review all applied:

    • Fees

    • Taxes

If additional fees were created in the Fees & Taxes section, you can add them from here as well. By default, you'll see the amount previously set up, which you can modify if necessary. Ensure you save your changes.

10. Editing Fees at the Property Level

This step explains how to customize fees per property, even if a default fee was set globally.

  • Add additional fees created in Fees & Taxes

  • View default amounts

  • Edit amounts as needed per property

  • Click Save to confirm changes

11. Setting Extra Charges on Property Level

On the property level, you can also set up extra charges, such as a cleaning fee, an extra-person fee, and a deposit. For a deposit, simply enter the desired amount and choose 'Per Stay.' Save these changes.

This section covers property-specific charges that are not part of global fees or taxes.

  • Configure:

    • Cleaning fee

    • Extra-person fee

    • Deposit

  • For deposits:

    • Enter the amount

    • Select Per Stay

  • Save all changes

12. Final Review

Finally, review how your fees and taxes appear on the OTA or on your direct website to ensure accuracy.

This final step ensures accuracy and transparency by reviewing how fees and taxes appear to guests.

  • Review fees and taxes on:

    • OTAs

    • Direct booking website

  • Confirm:

    • Correct amounts

    • Correct inclusivity settings

    • Accurate total pricing
